1. Definitions
For the purposes of these Terms and Conditions:
- “Company,” “we,” “us,” or “our” refers to Cherokee Creek Farm, located at 359 Taylor Bridge Rd. Jonesborough, TN 37659
- “Client,” “you,” or “your” refers to the individual or entity booking our services
- “Event” means any wedding, corporate retreat, birthday party, remembrance service, or other celebration or gathering planned or hosted through our services
- “Services” refers to event planning, coordination, venue rental, and related services provided by the Company
- “Venue” refers to our event hosting property and facilities
- “Agreement” means the contract formed between you and the Company for event services
2. Acceptance of Terms
By booking our services, making a deposit, or using our venue, you agree to be bound by these Terms and Conditions. If you disagree with any part of these terms, you may not use our services.
You represent that you are at least 18 years of age and have the legal authority to enter into this agreement.
3. Event Booking and Deposits
3.1 Booking Process
- All event bookings require a signed contract and non-refundable deposit
- Event dates are reserved only upon receipt of deposit and signed agreement
- We reserve the right to decline any booking at our sole discretion
3.2 Deposits and Payments
- A deposit of [PERCENTAGE]% of the total event cost is required to secure your date
- Deposits are non-refundable but may be transferred to a future date subject to availability and rescheduling fees
- Final payment is due [NUMBER] days prior to the event date
- Late payments may result in event cancellation and forfeiture of all payments made
4. Event Planning Services
4.1 Service Scope
Our event planning services may include but are not limited to:
- Venue coordination and setup
- Vendor management and coordination
- Timeline development and day-of coordination
- Décor planning and arrangement
- Catering coordination (where applicable)
4.2 Client Responsibilities
- Provide accurate guest counts and event details
- Communicate any changes or special requirements promptly
- Obtain necessary permits or licenses for your event
- Ensure all vendors and guests comply with venue rules and local regulations
- Provide final guest count [NUMBER] days before the event
5. Venue Rental Terms
5.1 Use of Premises
- The venue may only be used for the agreed-upon event and timeframe
- Maximum occupancy limits must be observed at all times
- All activities must comply with local laws, regulations, and venue policies
- No illegal activities or substances are permitted on the premises
5.2 Setup and Cleanup
- Access times for setup and breakdown will be specified in your contract
- All personal items and decorations must be removed by the agreed-upon time
- Additional cleanup fees may apply for excessive mess or damage
- We reserve the right to handle cleanup and charge accordingly if items are not removed timely
6. Cancellation and Rescheduling
6.1 Client Cancellation
- Cancellations must be made in writing
- Deposits are non-refundable
- Additional payments may be refunded according to the following schedule:
- More than [NUMBER] days before event: [PERCENTAGE]% refund
- [NUMBER]-[NUMBER] days before event: [PERCENTAGE]% refund
- Less than [NUMBER] days before event: No refund
6.2 Company Cancellation
We reserve the right to cancel events due to:
- Weather conditions or natural disasters
- Government regulations or health mandates
- Breach of contract by the client
- Circumstances beyond our reasonable control
In case of Company cancellation, we will provide full refund of payments made.
6.3 Rescheduling
- Rescheduling requests must be made in writing
- Subject to venue availability and may incur additional fees
- New date must be within [TIME PERIOD] of original date

7. Vendor and Third-Party Services
7.1 Approved Vendors
- We maintain a list of preferred vendors familiar with our venue
- Outside vendors must be approved in advance and provide proof of insurance
- All vendors must comply with our venue policies and guidelines
7.2 Vendor Liability
- We are not responsible for the performance, quality, or actions of third-party vendors
- Clients are responsible for contracts and payments to their chosen vendors
- Any damages caused by client’s vendors are the client’s responsibility
8. Food and Beverage
8.1 Catering Requirements
- All food and beverage service must be provided by approved caterers or our in-house services
- Outside food and beverages may be subject to restrictions and fees
- Proper permits and health department approvals are required for all food service
8.2 Alcohol Service
- Alcohol service must comply with all local and state laws
- Licensed bartenders are required for all alcohol service
- We reserve the right to refuse service or remove guests who are intoxicated
- Client is responsible for ensuring guests comply with alcohol policies
9. Insurance and Liability
9.1 Client Insurance
- Clients are strongly encouraged to obtain event insurance
- Clients are liable for damages caused by their guests or vendors
- Client must provide proof of liability insurance if required by contract
9.2 Limitation of Liability
- Our liability is limited to the amount paid for our services
- We are not liable for indirect, incidental, or consequential damages
- We are not responsible for personal property left on premises
- Weather and circumstances beyond our control are not grounds for liability
10. Property Damage and Security
10.1 Responsibility for Damages
- Client is responsible for any damage to venue property caused by guests or vendors
- Normal wear and tear is expected and acceptable
- Repair or replacement costs will be charged for any damages beyond normal use
10.2 Security Deposits
- A refundable security deposit may be required for certain events
- Deposit will be returned within [NUMBER] days if no damages occur
- Security deposit may be applied toward cleanup or damage costs
11. Photography and Privacy
11.1 Photography Rights
- We reserve the right to photograph events for promotional purposes
- Clients may opt out of promotional photography by written request

- We respect client privacy and will not share personal information without consent
- Event details and guest information will be kept confidential
12. Weather and Force Majeure
12.1 Outdoor Events
- Outdoor events are subject to weather conditions
- We will work with clients to provide alternatives for inclement weather
- Backup indoor options may be available subject to additional fees
12.2 Force Majeure
We are not liable for inability to perform due to circumstances beyond our control, including but not limited to:
- Natural disasters, severe weather
- Government regulations or health mandates
- Labor disputes, utility failures
- Acts of terrorism or civil unrest
13. Modifications and Communication
13.1 Contract Changes
- All modifications to agreements must be in writing and signed by both parties
- Verbal agreements or promises are not binding
- Changes may result in additional fees or charges

14. Governing Law

16. Changes to Terms
We reserve the right to modify these Terms and Conditions at any time. Updated terms will be posted on our website and apply to future bookings. Existing contracts will remain under the terms agreed upon at the time of signing.
